Privacy Policy

JH Accounting & Automation LLC (“JHAA,” “we,” “us”) provides bookkeeping and operations automation software to its business clients. This policy explains what information we process, how we use it, and the third parties that help us deliver the service.
1. Who this covers
Our service is a business-to-business tool used by our clients and their authorized staff. We process two kinds of information: (a) account information for the people who log in, and (b) business and financial data belonging to our clients, including data we access on a client’s behalf from third-party services they connect.
2. Information we process
- Account data — username, email, hashed password, and role/access assignments.
- Client business data — operational and financial records our clients store in or route through the service.
- Connected-service data — data retrieved from services a client authorizes us to access (see Section 4), such as accounting transactions, payouts, CRM pipeline records, and document exports.
- Operational logs — access and audit logs used to secure and troubleshoot the service.
3. How we use it
We use this information solely to provide, maintain, secure, and improve the service for the client it belongs to — for example, ingesting accounting and sales data, computing reconciliations and reports, and automating bookkeeping tasks. We do not sell personal information, and we do not use client or connected-service data for advertising.
4. Connected services & sub-processors
When a client connects a third-party account, we access only the data needed to provide the service, and only with the client’s authorization. A client can revoke access at any time, after which we stop accessing that service. We rely on the following sub-processors:

Intuit / QuickBooks Online: Data accessed via Intuit’s APIs is used only to provide bookkeeping automation for the authorizing client, is stored securely, is not sold or shared for any unrelated purpose, and is handled in accordance with Intuit’s developer and end-user terms. Clients may disconnect QuickBooks at any time to revoke our access.
5. How we protect it
Data is hosted on Microsoft Azure in the United States. We encrypt data in transit (TLS) and at rest, manage credentials and API tokens in a managed secrets vault, restrict access on a need-to-know basis, and isolate each client’s operational data at the database level.
6. Health information
The service is not intended to store protected health information (PHI). Clients in regulated industries are responsible for keeping PHI out of integrations and surfaces that are not contracted to handle it.
7. Data retention
We retain client and connected-service data for as long as the client’s account is active or as needed to provide the service, and delete or anonymize it on request or within a reasonable period after account closure, except where retention is required by law.
8. Your choices
Clients and their users may request access to, correction of, or deletion of their information, and may disconnect any connected service, by contacting us at the address below.
9. Changes
We may update this policy; material changes will be reflected by the effective date above.
